The Finance and Administration Officer – EU Projects will be responsible for the financial and administrative management of a portfolio of EU-funded projects coordinated by Energy Cities. This includes budget planning, cost monitoring, reporting, audit preparation, and partner coordination. The person in this role will work closely with project managers, partner cities, the European Commission / funding bodies and our internal Finance department to ensure financial compliance and effective use of funds.
Main responsibilities
Develop, monitor, and revise project budgets in line with EU grant agreements
Track project expenditures (personnel, subcontracting, travel, other direct costs) and ensure eligibility according to EU funding rules
Manage co-financing, pre-financing, interim payments, and final balance
Prepare financial reports and supporting documentation for European funders
Ensure readiness for internal and external audits
Maintain and organize project documentation (grant agreements, amendments, partnership contracts, financial records)
Prepare and submit periodic financial reports and ensure compliance with EU financial guidelines and regulations
Contribute to the financial aspects of proposal writing (project montage) and support project managers in planning and monitoring
Provide financial training or advice to project partners
Manage travel expense reimbursements in accordance with the Travel Policy
Maintain internal procedures and propose improvements
Profil
University degree in Finance, Economics, Business administration or Accounting
Minimum 3–5 years of relevant experience in financial management of EU-funded projects or international grants
Strong knowledge of EU funding programs and experience with with EU grant financial rules and eligibility
Excellent skills in financial reporting, budgeting, and forecasting
Autonomous, strong organizational and time management skills, excellent communication skills and ability to work within a multicultural team
Rigorous, attention to detail and solution-oriented mindset
Excellent proficiency in Excel
Exposure to energy projects or sustainability sector is highly appreciated as well as experience working in NGOs, networks, or associations
Fluent in English and French – spoken and written
